Sandalwood Homeowners Association Board of Directors Meeting Minutes

Call to Order

The meeting was called to order at 6:30 PM.

Attendance

Board Members Present:

Agenda and Discussion

1. Officer Positions

  • The Board voted on officer positions:

  1. President: Josh Rakestraw

  2. Treasurer: Didi Mayer

  3. Secretary: Candice Cardenas

  4. Members at Large: Coral Westbrook and Maggie Patton

2. Administrative Updates

  • Annual Registration: Filed with the Secretary of State.

  • Past Due Fees: Statements have started going out this week.

  • Tax Return: The HOA tax return will be filed before April 15, 2025.

3. Financial Updates

  • QuickBooks Transition:

  1. Current subscription costs $35/month.

  2. Board approved switching to a $299 flat-fee version, which is transferable with the required license information.

  • Banking Update:

  1. Due to the location of the HOA’s current bank, the Board voted to move to a new bank. One that is closer to the Sandalwood community and offers

    Zelle as an option.

4. Maintenance and Projects

  • Tree Services: The tree company has been contacted, and an appointment is being scheduled.

  • Pond Assessment:

  1. The quotes range from $500 to $650 for an evaluation.

  2. The Board decided to defer the assessment until 2026.

  3. Warning signs regarding swimming and fishing will be installed around the pond instead.

  • Landscaping:

  1. The board will work with the landscaper on cleaning up the debris at the front entrance and trash clean up.

  • Mailbox Re-keying:

  1. Didi to arrange re-keying the mailbox so we can use within the community. The mailbox will be utilized as a drop box for payments, ballots and potentially other necessary communications. The mailbox will not be used for outgoing mail through the USPS.

5. Communication Initiatives

  • The Board is working on establishing a community-wide distribution list for better communication.

  • Meeting minutes to be posted on the Sandalwood HOA website.

  1. A notification will be added to the Community and HOA Facebook pages

  • Venmo QR code will be added to the Sandalwood HOA website. This code can be utilized for any payments that need to be made to the HOA.

  • Board meetings will take place on the 2 nd Wednesday of every month.
